How to Create a New User in DocStar (Epicor ECM)
Step-by-Step Instructions
Step 1: Navigate to the Admin Tab
Log in to DocStar using an admin account.
Click on the Admin tab at the top.
Under the Manage section, click Users.
Step 2: Start a New User Entry
Click the New button.
Under Username, type the new user’s login name (often their email).
Optional: Fill in User Principal Name if using a different login name (typically used with Active Directory).
Step 3: Choose Authentication Type
Under the main user options, you must check one of the following:
Enable Independent →
Use this for DocStar-only login (requires a password set within DocStar).Enable Integrated →
Use this if your environment supports Active Directory login.
⚠️ You must check either Independent or Integrated.
If Integrated is used, you can click Import at the bottom to search for a user in Active Directory.
Note: Only Super Admin users can import from AD. If needed, contact our support team.
? Step 4: Assign Permissions
Use the checkboxes under Admin Permissions to grant access.
Examples:
Batch Import: To allow scanning/import functions
Workflow Administrator: For managing workflow design
Create and Edit Groups/Users: For team leads or department admins
Tip: Use the “All” checkbox to give full access to advanced users or admins.
Step 5: Add to Groups (Optional)
Click the Edit Groups pencil icon on the right side.
Assign the user to any security or access groups for easier permission management.
Step 6: Save or Import
If Integrated is selected, you can click Import to pull the user’s info from Active Directory.
If Independent, simply click Save to create the account.
Final Steps
Provide the user with:
The DocStar login URL
Their username (and password, if Independent)
Ensure they have access to the Epicor ECM Client if scanning is required.
Troubleshooting Tips
Issue | Solution |

Import fails | Make sure you're logged in as a Super Admin |
User can’t log in | Double-check password method, account status, and spelling |
